    • For CPEs, AWVs, and hospital discharge visits, ensure you review the patient’s medication list item by item.
    • The Med Rec button is being checked, but discrepancies are still noted when the provider verifies with the patient.
  2. Messaging to Providers
    • Before sending messages, confirm which provider has seen the patient the most by right-clicking on the patient’s name and searching their appointment history.
    • Avoid automatically tagging or sending messages to the last provider seen without verification.
  3. Phone Call Documentation
    • Always collect complete information during phone calls, including a callback number, in case follow-up questions arise.
  4. Urgent Messages for Providers
    • On Fridays and days when providers are working remotely:
      • If a provider’s schedule ends at 12 PM, send urgent messages to the in-office provider.
      • Do not hoard messages; address them promptly throughout the day.
  5. Referral Requests
    • Valerie will handle referral requests in Updox or work with patient-provided specialist lists to assist medical assistants (MAs).
  6. Follow-Up for Sick Patients Post-Telehealth
    • Patients who call stating they are still sick after a telehealth appointment need to be scheduled for an in-office evaluation.
  7. Annual HIPAA Training
    • Staff must complete annual HIPAA training.
    • The training can be done at home, and hours should be logged on timecards.
  8. LGBTQ Certification
    • Staff are required to watch the inclusion video located on their desktops and sign the acknowledgment form in the kitchen within the next two weeks.
  9. OFM Communications Link
    • Dr. Way has added an OFM communications link on all desktops.
    • Staff meetings, calendars, and important communications will be available there.
    • Check the link at the start of every shift.
  10. Cover My Meds Questions
    • Consult with a provider for assistance with Cover My Meds, particularly for weight loss drugs, to ensure accurate responses for approval.
  11. Staffing Update
    • Janet will be out from January 21 to February 14.
    • Dawn will cover the front desk during this period.
